About the role
NeedAWebNow brings in specialists per project — designers, developers, ad buyers, video editors — which is what lets a small agency deliver across as many service lines as we do. It is also the thing most likely to go wrong: a build waits three days on a logo nobody chased, a client is asked for the same asset twice, a launch slips and nobody tells them. As Project Coordinator you are the person who stops that happening. This is distinct from our Executive Assistant role, which supports the founder’s calendar and client relationships; this role runs the delivery.
What you’ll do
- Run the delivery schedule for live projects: what is due, who has it, what it is blocked on, and what the client has been told.
- Chase the inputs — client copy, logos, photos, account access — which is the single most common reason a web project is late.
- Coordinate the specialists on each project and make sure a handoff between two of them includes what the next one actually needs.
- Keep project state current in Mission Control so a status question has an answer without a round of phone calls.
- Send clients the status updates nobody asked you to send. Most of the complaints an agency gets about timelines are really complaints about silence.
What we’re looking for
- Two or more years coordinating projects with external contributors and client dependencies — agency, construction, events, production, anywhere the pattern is the same.
- Written follow-through. The job is substantially chasing people politely and in writing, and remembering who still owes what.
- Comfort in a browser-based dashboard and in shared calendars, and the ability to learn an unfamiliar tool without a manual.
- Conversational Spanish strongly preferred — many of these conversations are with Spanish-speaking clients and contractors.
Schedule
Part-time, roughly 20–25 hours a week, Monday to Friday inside business hours. Hybrid: mostly remote, with regular on-site time at our Orlando office at Pipeline Workspaces, 20 North Orange Avenue, for planning and client sessions.
About this posting
This is an open, evergreen posting. We keep it up whether or not there is a seat free this month, because the alternative — starting a search the week we need somebody — is how agencies end up hiring whoever is available instead of whoever is right. There is no deadline on it and no urgency to manufacture. If you are good at this, apply, and we will talk; if the fit is there and the work is not yet, we will tell you that honestly and keep your application on file.
Every application comes to us through this page. We do not post on Indeed or any other job board, and nobody at NeedAWebNow will ever ask you to pay for anything as part of applying.
